ASSISTANT PROJECT MANAGER (APM)

CMA Development is a boutique, architecturally driven general contractor based in San Francisco with a diverse portfolio of projects throughout the Bay Area. Our focus is on high-end residential remodels and additions of varying sizes. As a unique blend of architecture, real estate development, and construction, we are seeking to expand our team by bringing on an experienced Assistant Project Manager (APM) to support the owner/main PM throughout the entire project lifecycle.

The APM will assist in coordinating all aspects of project execution, with a focus on documentation, scheduling, budgeting support, procurement, and communication with project stakeholders. This role is ideal for a highly organized, proactive, and solutions-oriented professional who is passionate about architectural craftsmanship and eager to help shape exceptional projects from start to finish.

Key Accountabilities

  • Support proactive communication and coordination with clients, consultants, and design teams

  • Assist with budget tracking, documentation, and financial reporting

  • Help maintain project schedules and short-term lookahead plans

  • Ensure timely and effective procurement of materials and subcontractor buyouts

  • Maintain accurate, organized project documentation and reporting

  • Actively participate in the preconstruction process

Duties & Responsibilities

Relationship Management & Communications

  • Support communication and coordination with clients, consultants, and design teams under the guidance of the owner/PM

  • Help maintain positive relationships to ensure smooth project execution

  • Proactively assist in addressing issues before they escalate

Budget Management Support

  • Assist with real-time job costing updates and documentation

  • Support budget vs. actual tracking and financial reporting

  • Assist in the invoicing and billing process, including SOV updates

  • Track and log change orders, coordinating updates with the PM

  • Help source and qualify subcontractors and vendors to align with budget and quality goals

Scheduling

  • Help maintain and update the master project schedule and 3-week lookaheads

  • Coordinate closely with the Superintendent to monitor labor sequencing and scheduling impacts

  • Flag scheduling risks or field issues to the PM and Superintendent

Procurement & Resource Management

  • Assist in subcontractor RFPs, bid management, contract preparation, and scope clarifications

  • Support finish materials procurement, including research, pricing, takeoffs, ordering, and delivery coordination

  • Manage submittals and material tracking alongside the Superintendent

  • Assist with project punch list closeout tasks, including miscellaneous procurement needs

Information Management & Documentation

  • Attend site meetings, generate meeting minutes, and maintain updated project logs

  • Maintain organized build files (drawings, specifications, selections) for team access

  • Coordinate and track RFIs, submittals, and shop drawings with internal and external teams

  • Assist with permit tracking, utility processes, special inspections, and regulatory closeouts

  • Assemble project closeout manuals, including specifications, finishes, vendors, and maintenance recommendations

  • Review timecards for accuracy and completeness

Preconstruction Participation

  • Support the PM and project team during preconstruction phases with budgeting, scheduling input, and sourcing labor and materials

  • Help organize and document preconstruction deliverables

Qualifications

  • 3+ years of experience supporting project management in high-end residential construction (custom homes, remodels, additions)

  • Solid knowledge of construction methods, materials, and scheduling principles

  • Excellent organizational skills and attention to detail

  • Strong written and verbal communication abilities

  • Ability to track multiple streams of work simultaneously and meet deadlines

  • Proficiency with project management tools and systems

  • A solutions-oriented mindset and a collaborative approach to problem-solving

  • Valid driver’s license and reliable personal transportation

Salary & Benefits

  • Full-time salary range: TBD annually, commensurate with experience
